Procurement & Studio Ops Coordinator
We are seeking a Procurement & Studio Operations Coordinator for our interior design firm in Hamilton, MA. This hybrid role bridges procurement logistics with core studio operations, providing central support to our principal and design team.
This position is ideal for a proactive operational anchor who thrives on precision, urgency, and seamless execution. You naturally anticipate needs, maintain tight systems, and take pride in resolving potential bottlenecks before they impact project timelines or client experience.
Your Impact & Core Responsibilities
- Lead Procurement with Precision: Own ordering and procurement coordination across all active projects—placing purchase orders, tracking lead times, expediting shipments, and verifying accurate deliveries.
- Keep Projects & Logistics Moving: Coordinate receiving and white-glove delivery details. Provide clear updates to the team and proactively flag risks (delays, backorders, schedule conflicts). Run reports for review.
- Maintain Studio Systems: Keep task tracking and procurement records meticulously updated in Studio Designer and Asana, ensuring project data is real-time and accurate.
- Manage Daily Studio Operations: Ensure the physical studio space remains clean, organized, fully stocked, and client-ready at all times.
- Provide Reliable Administrative Support: Handle vendor site visits, run errands, manage incoming/outgoing mail, assist with scheduling coordination, order supplies, maintain materials library, coordinate employee enrichment (activities and outings) and procure client/employee gifts (holiday gifts, birthday gifts and in-office celebrations).
- Accounting Support: Reconcile credit cards and coordinate with remote accounting team.
Key Operational Tasks Include
- Studio Readiness: Prepare the space for client appointments and vendor presentations; oversee general studio tidy-up, trash removal, and supply inventory.
- Meeting & Event Logistics: Coordinate logistics for Monday morning team meetings and act as a liaison between leadership and staff for studio updates and team events.
- Vendor & Delivery Coordination: Greet and support visiting vendors, schedule access, and manage sample library upkeep.
- Gifting & Client Care: Track internal and client milestones (birthdays, anniversaries, holiday gifts), handling selection, packaging, and delivery timing.
- Asana & Workflow Upkeep: Maintain daily task updates in Asana to reflect accurate studio operations follow-ups.
Culture & Performance Expectations
You will thrive in this role if you are:
- A Self-Directed Operator: You take clear instructions and run with them—anticipating next steps without needing step-by-step oversight.
- Driven by Urgency & Accuracy: You naturally meet deadlines, manage shifting priorities quickly, and care deeply about getting order details right.
- Detail-Focused & Intuitive: You spot missing information early and follow through until tasks are 100% complete.
- Collaborative & Engaging: Fosters a friendly, supportive environment where communication is open, respectful, and pleasant.
This role is NOT a fit if you:
- Do not enjoy execution-focused or detailed administrative work.
- Prefer a slow-paced environment without tight deadlines or shifting priorities.
- Prefer working fully remotely (this is a 100% in-office role in Hamilton, MA).
